The Office Administrator/Receptionist is a cornerstone position of the MAC Renovations team.  This role keeps our office running smoothly and communications timely. We’re looking for a customer-focused, admin-savvy, problem-solving Rock-star applicant. In addition to daily interactions with office and field staff, they are the first voice and face of the company to new and existing clients. Deliverable 1 – Maintain Administrative Tracking Systems.  You’ll be responsible for keeping the information correct and where it needs to be. This aspect of the role manages the inventory across various departments to ensure your teammates are supported to have what they need to get their job done. You’ll be updating inventory information, track payroll data entry, review maintenance schedules, and keep our office supplies stocked up. Deliverable 2 – Office Relations Your positive, professional voice and upbeat personality are the first face/voice our clients, team members and trade partners meet. This role is ultimately our manager of first impressions. You’ll ensure the office is open, lights and coffee are on, and ready to take on the day. This cornerstone accountability is key to keeping the office running smoothly. Deliverable 3 – Project Support: You’ll work alongside our Project Coordinator setting up projects in our systems, create site documentation, filing, warranty book creation, and file closeouts/archiving. Deliverable 4 – Safety Program Documentation: Safety on our job sites and for our team members is very important to us at MAC Renovations. We are COR certified and want to do everything in our power to be Industry leaders in Safety. This role will be key in keeping the safety program processes going by participating in our JOHS committee, keeping our first aid kits packed, conducting yard and office walk arounds, and keeping records of vehicle maintenance. Skills and competencies include and are not limited to:
  • Exceptional computer skills including:
  • Proficient keyboarding skills.
  • Proficient knowledge of Google Drive is required, while BuilderTrend Knowledge is an asset.
  • Proficient and current with Microsoft Office.
  • A minimum of 2 years of reception experience or equivalent with a mixture of schooling and work experience.
  • Proficient verbal and written communication skills.
  • Excellent Phone Manners.
  • Time management & ability to prioritize tasks
  • High Emotional Intelligence and the ability to show empathy.
  • Excellent client service skills, with the ability to work in a diverse workforce.
  • High level of detail-oriented, time management, and organizational skills.
  • Proven planning and scheduling experience.
  • Competency with the high-volume workload, and the ability to stay focused and make sound decisions.
  • Ability to multitask while managing priorities in a calm manner.
  • Preference will be given to those with an understanding of design and renovations.
  • An understanding of construction safety or general Health and safety &will be valuable.
